Who we are
Rowform, INC. (“Rowform,” “we,” or “us”) operates this website, Coil Brief, and Coil Record. This policy explains how we handle personal information associated with inquiries, accounts, coil requests, orders, and our communications.

Information we collect
Depending on how you use our services, we collect:
- Your name, email address, phone number, and company name if provided.
- Account identifiers, sign-in information, and settings such as country, time zone, preferred units, and notification choices.
- Coil measurements, specifications, reference information, drawings, photographs, and other documents you provide.
- Project messages, decisions, approvals, and related correspondence.
- Delivery details, including customer name, optional company name, shipping address, and air freight or sea freight selection.
- Payment and order information when payment and ordering services are used.
Our services and providers may also process technical information such as IP addresses, browser and device information, access times, and service or security logs.
Only share information and files you are authorized to provide. Avoid including unrelated personal information in drawings, photographs, or other documents. If you provide someone else’s contact or delivery information, make this policy available to them.
How we use information
We use information to respond to inquiries; provide accounts and sign-in; save and process Coil Brief submissions; prepare specifications, drawings, and quotes; record approvals; process payments and orders; coordinate manufacturing and delivery; provide support; protect our services; and meet applicable legal, accounting, warranty, and dispute-resolution obligations.
Submitting a Coil Brief does not place an order or require payment.
Where applicable law requires a legal basis, we rely on processing needed to take steps at your request or perform a contract, comply with legal obligations, or pursue legitimate interests such as responding to business inquiries and protecting our services, subject to applicable protections for your rights. Where consent is required, we obtain it separately. Reading this policy does not provide consent.
Manufacturing, shipping, and service providers
We provide our manufacturer in China with technical drawings and customer contact details needed to manufacture the coil and coordinate shipment to the customer’s delivery destination. Technical documents may also contain personal information you included in them.
Shipping and logistics partners receive customer name, optional company name, shipping address, and the selected shipping method—air freight or sea freight—as needed to arrange delivery.
We also use providers for account authentication; website and application hosting, infrastructure, and security; and email delivery. They process the information needed to perform those services. Address-search providers may receive address search text and the selected country when an address-suggestion feature is used.
When you make a payment using Stripe, Stripe processes information for payment and related transaction services. Read Stripe’s Privacy Policy for information about its practices.
These providers may use their own service providers. Payment providers may also process information under their own privacy notices and legal obligations.
We may disclose information when required by applicable law or valid legal process, or as necessary to establish, exercise, or defend legal claims.
We do not sell customer personal information or share it for advertising. The operational disclosures described above support our services, manufacturing, and delivery.
Where information is processed
Information may be processed outside your country. Our account authentication database is hosted in Northern Virginia, United States. This identifies the database hosting location; other provider operations and support may take place elsewhere.
Our email delivery provider’s primary processing operations take place in the United States. Hosting, security, and payment providers operate international services. Manufacturing takes place in China, and shipping information may be processed in the countries involved in your delivery.

Retention and local drafts
Unsubmitted Coil Brief drafts are saved in your browser until you delete the saved copy or clear the relevant site data. Selected files awaiting upload may also be stored locally on your device. We do not automatically delete browser-only drafts based on their age. Removing local site data does not delete submitted records or files already uploaded to Rowform.
We retain account and project information to provide our services and maintain records needed for orders, accounting, warranties, disputes, and legal requirements. Our planned retention review periods are:
- Submitted requests that do not become orders: 24 months after the last project activity.
- Completed order records, approvals, drawings, invoices, shipping documents, and order-related correspondence: seven years after order completion, with longer retention where necessary for an applicable legal requirement, ongoing warranty, or dispute.
- General support inquiries: 24 months after resolution. Order-related correspondence follows the order-record schedule.
These periods are planned review targets, not automatic deletion deadlines. Age-based cleanup is not currently operational across all systems, and records may remain beyond these targets. You can request deletion using the process below.
Archiving a Coil Record changes its visibility in your account; it does not delete its underlying information. Closing an account does not automatically erase records that remain necessary for an order, accounting, warranty, dispute, or legal requirement.
Access, correction, export, and deletion
Email [email protected] to request access to your personal information, correction, an export, or deletion. Include enough information for us to identify your account or project. Do not send identification documents unless we explain why they are needed.
We verify requests through your account email or another method proportionate to the request. We do not routinely require identity documents. We aim to respond within one calendar month and follow any applicable shorter deadline. If an extension is permitted and needed, we will explain the reason and expected response time within the applicable initial deadline.
We review deletion requests to identify information that can be removed and records that remain necessary for orders, accounting, warranties, disputes, or legal requirements. If we cannot fulfill all or part of a request, we will explain why. Removal from active systems may not immediately remove copies held by providers or in backups; applicable obligations and backup cycles affect how those copies are handled.
Depending on your location and the laws that apply, you may also have rights to restrict or object to processing, receive a portable copy of eligible information, withdraw consent where processing relies on consent, or complain to a relevant data-protection authority. Where applicable, you may use an authorized agent or appeal a denied request. We will explain any applicable verification or appeal procedure in our response. We will not discriminate against you for exercising rights protected by applicable law.
Necessary and promotional emails
We use email for necessary account and project communications, such as sign-in messages and updates about submissions, orders, and delivery.
We do not currently offer promotional email subscriptions or enroll you merely because you create an account, submit a Coil Brief, or place an order. If we introduce promotional subscriptions, we will explain the subscription choices and unsubscribe procedure before launching them and update this policy as needed.
Cookies and browser storage
We use cookies and browser storage for authentication, session continuity, saved preferences, and Coil Brief drafts. Selected files awaiting upload may be stored locally in your browser. We do not currently use advertising trackers.
Your browser settings can control or remove stored cookies and similar information. Disabling necessary storage may affect sign-in, saved preferences, or other functions. If we introduce optional tracking that requires consent, we will provide the required choices before activating it.
Security
We use access restrictions and other safeguards to protect information handled through our services. No internet service or storage system can guarantee absolute security. Contact [email protected] if you believe your account or information has been compromised.
Changes and contact
We may update this policy when our services, practices, or legal obligations change. This page shows its update date, and we will provide additional notice of material changes where required.
